Kodomo Link is a support-discovery platform for families in Okinawa. This page explains what information we collect, what we use it for, how long we keep it, and when we delete it, in plain language.
We collect three types of information.
Household size, children's ages and school level, your municipality, employment status, approximate monthly income range, support needs, and free-text notes. We don't ask for your name, address, or phone number until the application stage.
Your name, contact details, and document photos entered when you apply for support. These are shared only with the organization you're applying to.
Access timestamps, operation history, error logs. Not used to identify individuals. IP addresses are converted to a one-way hash. Raw IPs are never stored.
We use the information we collect only for the following purposes, nothing else.
Your personal information is shared with third parties only in the following cases.
We never sell or share your information for advertising purposes.
Under APPI Article 19 (prompt deletion once the purpose of use is fulfilled), we manage data according to the following periods.
| Data type | Retention period | What happens after |
|---|---|---|
| Family profile (active) | Retained while in use | Fully deleted 30 days after account deletion |
| Family profile (inactive 2+ years) | 2 years | Identifying fields (notes, children's details, municipality) are automatically deleted; anonymized aggregate data is retained |
| Application info & document photos | 5 years | Fully deleted |
| Usage & access logs | 1 year | Fully deleted |
| Security audit logs | 7 years | Fully deleted (basis: commercial law & APPI accountability obligations) |
| Data after deletion request | 30 days (grace period) | Fully deleted (cannot be restored) |
All deletion and anonymization processes run automatically and are recorded in the audit log.
Under the Personal Information Protection Act, you have the following rights.
All these rights can be exercised directly from the 'Settings' page in the app. We'll respond to requests within 5–7 business days.
Free-text notes are checked by AI for signs of potential child abuse, neglect, or self-harm. When a concern is flagged, a human reviewer checks it, and if necessary we may make a consultation or report under the Child Welfare Act. No AI decision is ever made automatically.
